Overview

This positions supports the Chief of the Division of Breast Oncology, Dr. Sara Tolaney, as well as the Associate Chief, Dr. Nancy Lin.Responsibilities may include complex calendar and travel management, preparing and processing expense reports as needed, liaising with other Institute executive support staff in the facilitation and planning of meeting/events, establishing best practices for the department, and independently completing projects as assigned.

Responsibilities

Provides knowledgeable and skilled general administrative support to senior executives with Institute wide responsibilities. Duties may include:

  • Preparation of reports and other documents in accordance with specific timelines.
  • Management of the executive's calendar.
  • Representation of executive in specified areas as directed using a high level of discretion.
  • Possession of a high degree of independent functionality.
  • Assistance in the preparation and editing of power point presentations as needed.
  • Provides knowledgeable and skilled administrative support to senior executives including editing and preparing documents and correspondence that may be highly confidential or politically sensitive in nature to leaders this position supports.
  • Provides general administrative support, including the management of the executive's calendar, maintenance and updating of CV, preparation and processing of expense reports.
  • Facilitation of advanced communications support, including call triage, email correspondence, and zoom/MS Teams technical assistance.
  • Planning and coordination of meetings and schedules. May coordinate conferences or other group meetings.
  • Participation in coordination of department/program activities.
  • Coordination of departmental administrative coverage as needed.
  • Possession of exceptional customer service skills.
  • Performance of high level project work

  • Bachelor's degree or equivalent experience or training desirable. College level course work highly desirable.
  • 5 - 7 years experience in an office setting, including at least 2 years experience providing administrative support of a project or program.
  • Experience working in an academic medical/scientific research setting or comparable technology-oriented business environment is highly preferred.
  • Excellent English language reading, writing, and speaking skills required.
  • Demonstrated ability to initiate and/or draft reports, correspondence and other administrative documents as needed.
  • Demonstrated ability to organize meetings and carry out complex scheduling required.
