We are looking for an Office Manager to join our team at Vaisala Inc. located in Woburn, Massachusetts. This role is perfect for a self-starter who loves planning and executing events, ensuring a safe and welcoming workplace environment for all employees, and acts as a key facilitator within our office ecosystem.

What's your role?

In this role you will be working in close co-operation with many key stakeholders including sales, marketing, service, IT, HR and facilities. You will report to the Vice President, Industrial Measurements Americas.

  • Ensure upkeep and optimal layout of the office to meet operational demands, oversee the physical onboarding of new employees, manage office supplies and coordinate lunches for both employees and guests as needed.
  • Manage budgets and report on facilities-related expenditures to ensure cost-effectiveness.
  • Handle maintenance service requests, troubleshoot office issues, and engage with vendors to ensure timely resolution.
  • Assist in planning, coordinating, budgeting, and logistics for onsite and offsite office events.
  • Help facilitate safety programs for the office and laboratory, supporting an environment conducive to health and compliance standards.
  • Provide support to the leadership team and undertake additional duties as necessary to ensure smooth operations and organizational effectiveness.

What will you bring?

  • High School diploma and 2 or more years of facility/office management supporting an organization of 50+ employees or;
  • Equivalent combination of education and experience required
  • Highly adaptable, comfortable with change and ambiguity, capable of quickly rallying teams and resources around key issues
  • Approaches work with a "can-do" attitude and a sense of commitment to both the team and customer objectives; strong team player
  • Ability to perform basic functions in Microsoft suite
  • Detail orientated
  • Ability to multitask, strong sense of priority
  • Ability to work independently and solve problems
